A leading letting agent chain in Surrey approached KPS with a problem: their compliance and maintenance process had become unmanageable. With hundreds of managed properties spread across multiple branches, they were juggling dozens of contractors, chasing missing certificates, and reacting to last-minute issues that put landlords and tenants at risk.

The challenge wasn’t just volume — it was visibility. Gas safety, EICRs, EPCs, fire checks, and routine maintenance were all tracked in different systems (and sometimes on paper). Properties were falling out of compliance, urgent works were missed, and staff were spending hours a day manually chasing updates.

KPS implemented a single, coordinated approach to both compliance and maintenance. We audited every property in their portfolio, logged expiry dates for every certificate, and created a live schedule to prevent last-minute scrambles. At the same time, we consolidated their contractor network, taking on responsibility for both planned and reactive maintenance across the portfolio.

Within three months, every property was back in compliance, last-minute emergencies had dropped significantly, and the client’s property managers had a single point of contact for all works. Staff time spent chasing certificates was reduced by over 70%, freeing them to focus on growing their portfolio rather than firefighting.
